Fair Competitive Exhibits Assistant

The SAN MATEO COUNTY FAIR is seeking a Competitive Exhibits Assistant to work during the San Mateo County Fair. This is a seasonal position beginning in May and ending in mid-June.

Job Summary

Assist the Exhibit Department on behalf of the San Mateo County Fair.  Responsible for the implementation of exhibits at the San Mateo County Fair and oversee the daily operation of the department during the San Mateo County Fair.  Position will perform duties under the direction of the Exhibits Supervisor, Fair Operations Manager and in limited cases, the CEO.  Other duties may be assigned depending on work load and needs for the Fair.

Essential Functions/Responsibilities

Essential and other important responsibilities and duties may include but are not limited to the following:

  • Assist in planning and implementing of all department exhibits and attractions.
  • Assist in the receiving of entries.
  • Assist in the setup of the department including show cases, table placement, pipe and drape placement color of drapes and any other necessary equipment as needed.
  • Recruit & Supervise volunteers for the department prior to and during the fair.
  • Assist judges for all applicable contests and provide necessary information to fair staff.
  • Assist in the review and submission of all volunteer information and timesheets, judging sheets and related materials to Fair Office in a timely basis.
  • Assist in the ordering and maintenance of department supplies.
  • Train volunteers on proper customer service and guest relation procedures.
  • Other duties as assigned.

 

Community/School Programs: Identifying new opportunities for the school programs and tours. Development of such programs and outreach to the local schools to increase participation, in partnership with the Fair Operations Manager. Responsibilities include:

Assisting in planning overall logistics for execution of the programs and tours with Fair Operations Manager Preparation of tickets and/or collateral accompanied with the programs Promoting and providing information on schools’ ability to participating in competitive exhibits

Fair Exhibitors:  Communication with current and potential Exhibitors for the Fair. Management of the Competitive Exhibits office.

Manage check-in/entry receiving of Fair Exhibitors while directing them to their set-up location Communication with Exhibitors with general FAQ Assembling all packets and information needed for all entrants at drop-off Ordering and distributing parking passes and entry tickets for exhibitors

Department Heads:  Communication of Department Head activities.  Providing logistical support throughout the Fair season.

Coordination between the Departments Communicating required deadlines and determining entry receiving, pick-up, and judging times Coordinate the ordering of equipment and supplies for the Departments Oversee all Exhibit Staff, budget, and timesheets

Judges:  Communication with current and potential judges for the Fair.  Responsible for the overall processing for judges’ contracts and payments. 

Identifying and booking judges for all departments Staying within budget on the cost of judges Identifying any overpayments Maintain an amiable relationship with judges Maintain a database of judges for future use

Qualifications

 

  • Excellent computer skills including proficiency with Microsoft Office.
  • Ability to communicate effectively, both orally and in writing.

Minimum Requirements

 

  • Minimum of three years of progressively responsible administrative experience, above average customer service skills and attitude, a strong ability to be detail orientated are required. 
  • Prior experience in the fair, festival and event industry is preferred. 
  • High school diploma or equivalent.  College degree a plus.

Farm Worker Heroes Exhibit Supervisor-San Mateo County Fair

The SAN MATEO COUNTY FAIR is seeking a qualified Farm Worker Heroes Exhibit Supervisor for the annual fair held in June.

Job Summary

Manage the Farm Worker Heroes Exhibit on behalf of the San Mateo County Fair.  Responsible for the printing, framing and installation of exhibits at the San Mateo County Fair and oversee the daily operation of the department during the San Mateo County Fair.  Oversee setup and take down with fair staff and volunteers.

Job Summary
Provides guest services and customer service in a temporary capacity during the San Mateo County Fair. 


These are seasonal positions during the San Mateo County Fair. Must be available for day, evening and weekend shifts from June 1-12, 2022.

Essential Functions/Responsibilities 
Essential and other important responsibilities and duties may include but are not limited to the following: 

  • Greet Fair guests and provide general Fair information.
  • Resolve guest complaints.
  • Assist with the rental of strollers and wheelchairs.
  • Assist with the opening and closing of booths and the proper storage of guest services equipment.

The SAN MATEO COUNTY FAIR is seeking a qualified Literary Arts Department Supervisor to work with the Fair staff to plan and coordinate the literary arts department for the annual fair held in June of each year.

Job Summary

Manage the Literary Arts Exhibit Department on behalf of the San Mateo County Fair.  Responsible for the implementation of exhibits at the San Mateo County Fair and oversee the daily operation of the department during the San Mateo County Fair.  Oversee setup and take down with fair staff and volunteers.

  • Work within the provided department budget for securing judges, demonstrations and exhibits.
  • Review and submit all time sheets, volunteer information and timesheets, judging sheets and related materials to Fair Office in a timely basis.
  • Oversee the ordering and maintenance of department supplies.
  • Train volunteers on proper customer service and guest relation procedures.
  • Supervise the scheduling of paid part-time seasonal assistants to be within required budget.

A large portion of pre fair work can be completed independently from home.  Estimated monthly hours are as follows:

The SAN MATEO COUNTY FAIR is accepting applications for the following position:

FAIR RECEPTIONIST ~ Seasonal
 

This is a seasonal position that will begin in mid-May with full-time hours through mid-June.  

Must have full availability to work full time hours and be available to work on the weekends of June 4-5 and June 11-12.

A second seasonal position will be offered for the dates of May 31-June 12. 

Responsibilities will include:

  • Answer extremely busy telephones and respond to routine inquiries regarding the San Mateo County Fair and Event Center events.
  • Route and screen calls to appropriate staff members and take complete messages.
  • Greet and assist all walk-in visitors and clients and notify appropriate staff member of their presence.
  • Monitor and operate base radio to communicate with staff members.
  • Perform general administrative and clerical tasks for several departments.
  • Take telephone and walk in orders for advance fair ticket sales.
  • Additional duties as assigned.

Must be dependable, punctual and have excellent customer service skills. Ability to multi-task including accomplishing administrative tasks while answering phones and greeting the public. Ability to communicate effectively, both orally and in writing. Requires being responsible and reliable to fulfill job obligations. 

Security Officer

SAN MATEO COUNTY EVENT CENTER

SECURITY OFFICER

  • As-Needed position to work on an as-needed basis for specific events or projects.
  • $50.00 per hour.

The San Mateo County Event Center is a public assembly facility which hosts a wide variety of events and produces the San Mateo County Fair and operates the Jockey Club, a satellite wagering facility for horseracing as well as a full-service food service operation.  The Security Officer is responsible for the planning and implementation of all security coordination activities at SMCEC. Essential Functions/Responsibilities
Essential and other important responsibilities and duties may include but are not limited to the following: 

  • Provide recommendation on the physical safety and security of the SMCEC’s facilities, property and people including employees, vendors, clients, contractors, and guests.
  • Work with staff to develop, implement and maintain emergency and security plans for the SMCEC.  Provide effective direction to staff in emergency response situations.
  • Responsible for coordinating with contracted security providers for security services during certain high profile SMCEC events and the annual Fair.  Includes overseeing securing security guards and supervisors at proper staffing levels for each event.   Oversee the team of security personnel in their duties and responsibilities.  Coordinate with local law enforcement agencies and onsite contracted security.
  • Ensure that security personnel are adequately trained in all SMCEC emergency procedures. Develop training plans for security personnel and maintain security training records.
  • Manage and report to management on security incidents and threats.  Lead and direct investigations of accidents, thefts, property loss and unlawful activities.
  • Collaborate with local, state, and federal emergency services personnel such as Police, Fire and EMT as it relates to standard practices and emergency evacuation procedures.
  • Perform additional duties as assigned.

Qualifications

  • Must demonstrate responsible security and safety experience including managing a security team.  
  • Experience establishing security and crowd management best practices and procedures in a public venue environment. 
  • Excellent people skills, with an ability to interact effectively and in a professional, diplomatic and mature manner with internal and external clients and peers at all levels within an organization and throughout the community.  Ability to work collaboratively with SMCEC management, staff, clients, and guests.  Must have excellent written and verbal communication skills.
  • Demonstrated ability to oversee, coordinate and write a complex emergency preparedness program in a high-volume public facility.
